Terms and Conditions

These terms and conditions set out the general terms under which 24eight VPA undertake it’s business. The specific conditions relating to particular assignments will be covered in your separate ‘Service Level Agreement’

  • Ethical Guidelines 
    1. 24eight VPA Ltd, will not be held liable or responsible for the end use of any document or work carried out by us.  We retain the right to reject work which involves material we feel is illegal, immoral or objectionable.
  • Confidentiality and Data Protection 
    1. Communication made between 24eight VPA and all of our clients is confidential, and we will take all measures to ensure steps are taken to keep your information confidential at all times.
    1. 24eight VPA assures that no information relating to you or your business will be made available to any third parties.
    1. During the course of our work we may collect information from you and others relevant to your affairs. 24eight VPA will always explain the reason behind the purposed data collection. Data will only be specifically stored for as long as the project lasts. 
    1. All work will be kept on file for a period of 12 months. After this time work will be deleted unless specifically instructed otherwise.
  • Notification of Work
    1. The services we undertake on your behalf will be carried out on a timescale of within 48 hours. For longer projects the timescale will be determined as required.
    1. If turnaround of work less than 24 hours is requested, additional charges may be applied. 
    1. The timing of our work will in any event be dependent on the prompt supply of all information and documentation as required.
  • Quality of Service
    1. Work will be presented using Microsoft Office applications 
    1. We aim to provide a high quality of service at all times. If you would like to discuss with us how our service could be improved or if you are dissatisfied with the service you have received, please let us know by contacting the director of 24eight VPA Ltd.
    1. We undertake to consider any complaint carefully and promptly and to do all we can to rectify any problems.
  • Communication 
    1. For reasons of safety and insurance, personal visits to our premises are not permitted. All necessary meetings will be held at an alternative location.
    1. Unless you instruct us otherwise we may, where appropriate communicate with you and with third parties via email or by other electronic means. The recipient is responsible for virus checking emails and any attachments.
    1. With electronic communication, there is a risk of non-receipt, delayed receipt, inadvertent misdirection or interception by third parties. We use virus-scanning software to reduce the risk of viruses and similar damaging items being transmitted through emails or electronic storage devices.  However electronic communication is not totally secure and we cannot be held responsible for damage or loss caused by viruses, nor for communications which are corrupted or altered after despatched. Nor can we accept any liability for problems or accidental errors relating to this means of communication especially in relation to commercially sensitive materials. These are risks you must bear in return for greater efficiency and lower costs. If you do not wish to accept risks let us know and we will communicate by paper mail.
    1. Although every effort will be made to ensure reliable service, in event of equipment failure, 24eight VPA Ltd cannot be held liable for any loss of information.
  • Conflict of Interest 
    1. We will inform you if we become aware of any conflict of interest in our relationship with you or in our relationship with you and another client.
  • Period of Engagement and Termination 
    1. Unless otherwise agreed in the Service Level Agreement our work will begin when we receive a signed contract. This indicates your acceptance of our terms and conditions.
    1. Contracts can be terminated with 30 days written notice period by either party.  We reserve the right to charge for any work carried out prior to cancellation.
  • Fees 
    1. Our fees will depend upon the number of hours agreed at the start of our engagement. Monthly retainer packages must be paid in advance.
    1. All charges are billed by the hour and charged on a monthly basis.
    1. Any unused hours can be carried over to subsequent months with prior notice.
    1. Telephone, rail or bus travel, printing, stationery, postage and other expenses will be charged separately to hourly rate or package cost where incurred.
    1. Payment is to be made by BACS transfer only and the company bank details can be found at the bottom of each invoice.
    1. Payment is strictly 14 days from receipt of invoice and failure to pay within 14 days will result in a £20 penalty charge.
    1. Additional costs will incur in the event that 24eight VPA are repeating chasing for urgent information from clients.
